Resize Image for Email: Best Size, Format & Compression

Every few weeks someone emails us a 9 MB photo and asks why their message keeps bouncing. We open it, it takes a moment to render, and we already know the answer. The photo is 4000 px wide, the attachment limit on their mail server is 10 MB, and the file in their outbox is only just under it. One more photo and it fails.

That failure is almost never about quality settings. It is about sending an image sized for a billboard through a channel built for a screen. The fix is a resize, and it takes about five minutes in the browser.

Why big attachments fail

The limits are lower than most people assume:

  • Gmail allows 25 MB total per message, but anything over that is bounced
  • Outlook caps attachments around 20 MB, and webmail can be stricter
  • Corporate servers often cut off at 5–10 MB
  • Phone data plans make a 12 MB attachment genuinely annoying to open

The working rule we give people: an image for email should be no wider than 1600 px and no heavier than 1–2 MB. Smaller is almost always fine.

The sizes that actually work

These numbers come from the same math a mail server uses. A 4000 px photo at JPEG quality 80 is usually 5–12 MB. Scale the long side to 1600 px and the same quality setting lands anywhere from a few hundred kilobytes to well over a megabyte — and where it lands depends on something most guides never mention.

What we actually measured

We took two 1632 × 1224 JPEGs at the same starting weight — both originally around 566 KB — and re-encoded them in the browser at six widths and four quality settings. One image was a soft, low-detail photo (smooth gradients, shallow depth of field). The other was a hard, high-detail image (texture and fine structure throughout).

The same dimensions and the same quality setting produced a 7.6× difference in file size. The soft image was already small enough to email at full 1600 px. The detailed one was still too big at 1600 px and only became comfortable at 640 px.

Why detail matters more than dimensions

The full measurement grid makes the reason obvious. For the high-detail image:

Read the columns against the rows:

  • Going from 1600 px to 640 px at q 0.8: 562 KB → 64 KB (8.8× smaller)
  • Going from q 0.9 to q 0.6 at 1600 px: 794 KB → 380 KB (2.1× smaller)

Cutting the pixel count does roughly four times more work than cutting quality. That inverts the usual advice. If your attachment is too big, lower the dimensions first — dropping quality on a still-huge image mostly throws away visible detail for a modest saving.

For a detailed image the practical target is 1024 px on the long side at q 0.7–0.8, which lands around 170–220 KB. That is comfortably inside every mail server limit in the table above, and it still looks sharp on a phone or a laptop screen.

(Measurements taken in Chrome's canvas encoder at the quality settings shown. Your exact numbers will differ with image content — that is the whole point — but the 7.6× spread between a soft and a detailed image at identical settings is the part worth remembering.)

The 5-minute workflow

Step 1: shrink the dimensions

Open the Image Resizer, drop in the photo, and set the long side to 1024 px — or 1600 px if the image is soft and low-detail, and 640 px if it is packed with texture or text. Download the result.

Resizing first does most of the work, and the measurements above show why: it is the dimension change, not the quality slider, that removes most of the bytes. A 4000 px photo scaled to 1024 px has roughly 93% of its pixels gone before compression even starts.

Step 2: compress the file

Open the Image Compressor, drop the resized file in, and set quality between 70 and 80 for photos. The page shows the before and after sizes live, so you can confirm you are under your mail server's limit before you hit send.

If the file is still too large after that, go back and cut the dimensions again rather than pushing quality lower. The grid above shows the trade: another 400 px of width buys far more than another 10 points of quality costs.

Both tools process the file locally in your browser. Nothing is uploaded, which matters when the photo happens to be a client contract or a family picture. Embed or attach?

They solve different problems:

  • Attachments are simple and keep the original file intact, but the recipient has to open them, and several large ones can trip server limits
  • Inline images display as soon as the email opens, which reads better, but keep each under ~500 KB so preview panes stay fast

For newsletters, embed one small hero image and link out to a full-resolution gallery if anyone needs detail. For a personal message with a few photos, attach resized JPEGs under 1 MB each.

One detail that surprises people: Gmail displays inline images at roughly 600 px wide no matter what you send. An 1600 px inline image is wasted bandwidth, so 800–1000 px is the practical ceiling there. Outlook's rendering engine stretches oversized images to the message pane, which looks broken on a phone. Keep inline images under ~1000 px wide and under 500 KB.

What not to do

  • Do not upscale a small image to make it "bigger". You only add blur.
  • Do not recompress the same JPEG repeatedly. Each pass adds artifacts.
  • Do not send ten 2 MB files when resized versions of each would do.
  • Do not assume your own mail server matches Gmail's limits. Most companies are stricter.

A note about iPhone photos

Most attachments from phones are HEIC files. They work fine between iPhones, but Windows recipients and many corporate servers cannot open them at all. If someone tells you they cannot open your attachment, the format is usually the problem, not the size:

  1. Convert the HEIC to JPG with the HEIC to JPG converter
  2. Resize the JPG to 1400 px and compress to quality 80
  3. Attach the result

The photo arrives as a small, universal JPG and the "what is this file?" exchange never happens.

Questions we get about email image sizes

What is the best image size for email?

1024–1600 px on the long side, compressed to under 1 MB. That range covers phone photos and newsletters: files open instantly, survive strict corporate servers, and look sharp on any screen. Above 1600 px you are only slowing the recipient down.

How do I resize an image for email without Photoshop?

What is the maximum attachment size for Gmail and Outlook?
